Do I have to replace my existing CRM, or can you augment it?
We augment whatever you already have. Salesforce, HubSpot, Pipedrive, even a homegrown system — we wire AI lead scoring, follow-up drafting, deal-stage suggestions, and workflow automation on top of the CRM you already pay for. You don't migrate. You don't retrain your team on a new tool. The intelligence ships in two weeks, no rip-and-replace. If you want to migrate to Zoho One for a lower seat cost, we do that too — but it's optional, not the default.
What if our team resists adopting new tools?
This is the #1 reason CRM implementations fail, and it's the #1 thing we design around. The work we ship LIVES inside the tools your team already uses (their email, their CRM, their Slack), so there's nothing new to log into. AI suggestions appear inline, opt-in, with a clear 'human approves' step — nobody feels replaced. We also do a 2-hour team session at handoff and provide 30 days of post-launch support so the team can ask questions without bothering you.
Will implementing this disrupt our current operations?
No. We run beside you, not around you. The implementation happens in a sandbox or a parallel instance, gets validated with a subset of your team, then rolls out gradually. Day-of-launch, the only change your team sees is fewer manual tasks. Quotes still go out, leads still get assigned, invoices still get sent — those don't pause.
How do I know if my business is ready for custom AI?
Two questions answer it: (1) Are you doing the same workflow more than 5 times a week with no variation? That's automatable. (2) Do you have at least 6 months of historical data in your CRM, spreadsheets, or quote archive? That's training data. If yes to both, you're ready. If you're under 5 reps, AI might be overkill — process discipline first, automation second. We'll tell you that on the discovery call.
What's the ROI of custom AI vs. just buying off-the-shelf SaaS?
Depends entirely on your conversion math. Generic SaaS chatbots convert at ~1.5% because they don't know your catalog. A custom AI agent trained on your products, configurations, and distributor map converts at 5-15% in our experience. For a B2B shop doing $50K average orders, the ROI difference is usually 10× over 12 months. We'll walk through your specific math on a discovery call.
Should we just build this in-house instead?
Sometimes yes — if AI infrastructure IS your business. For everyone else: one ML engineer costs $200K/yr loaded, takes 4-6 months to ship a first prototype, then owns the maintenance forever. We ship in 2-6 weeks, own the upgrades, and your team doesn't have to become an AI shop. The build-vs-buy break-even is around year 3 of continuous building. Most clients want the result, not the team to build it.
How long does a Zoho implementation take?
A typical implementation runs 4–8 weeks from discovery to handoff. Optimization or migration work usually lands in 3–6 weeks. We can move faster when there's a real deadline; we just won't shortcut quality to do it.
What does it cost?
Engagements start at $5,000 for a focused implementation and scale based on scope. We quote per project (not hourly) so you know the budget on day one. The discovery call is free and includes a scope estimate.
Do you work with HubSpot or Salesforce?
We focus on Zoho One — that's where we add the most value because we use it ourselves. We can migrate you from HubSpot or Salesforce to Zoho, and we can integrate with either if you have a hybrid stack. We don't do HubSpot or Salesforce implementations from scratch.
We're tiny — is Zoho overkill?
Zoho One is one of the lowest seat costs in the market ($37/user/month at the time of writing). For a team of 5–25, it's almost always cheaper than HubSpot or Salesforce at equivalent capability. The implementation is what makes or breaks it — and that's our job.
Do you handle ongoing support?
Every engagement includes 30 days of post-launch support. After that, most clients move to a small monthly retainer ($500–$2,000/mo depending on stack complexity) for ongoing tuning, new automations, and quarterly reviews. Optional, not required.
What about AI?
AI is part of how we run Zoho now — lead scoring, follow-up drafting, meeting-note capture. We build it together with our AI practice. AI sharpens the workflow; it doesn't replace the workflow.
